KILGOUR ELEMENTARY PTA BOARD MEETING Minutes May 6, 2010 Present: Lori Raser, Jenny Workum, Lori Ware, David Carns, Aimee Bashor, Aronda Rodgers, Peggy Groeber, Judy Neff, Jenny Workum, Mark Severin, Nikki Kingery, Barb Culbertson, Diane Brueggemann Meeting Opening – A motion was made to open the meeting (Motion – Lori Ware , Second – Aimee Bashor). Thanks to PTA Room Parents for Teacher Appreciation! Several teachers sent thank you notes to the PTA which were passed around at the meeting. Thanks to KSB for a great Sports Recognition Night! Congratulations to Levi Bedall, our first Kilgour Scholarship winner! He was accompanied by his parents and read his winning essay. Judy Neff presented him with a Kilgour baseball cap and $1000 check. Recording Secretary – Diane Brueggemann substituting for Laura Deck Approval of April minutes (Motion – Mark Severin, Second – Judy Neff) Motion passed. Kilgour Sports Boosters – Davith Adams (not present – no report) Treasurer’s Report – Lori Ware Budget was distributed. Motion was made to approve (Motion –Judy Neff, Second – Peggy Groeber) Motion passed. Principal’s Report – Angela Cook (not present – no report) Teachers’ Report – Terry Armstrong (not present – sent email report) Happy as can be to be at Kilgour. Sign-up sheet for workers for the Hug-a-Teacher booth at Carnival is almost complete. New Business Revised requirements for PTA-sponsored assemblies: PTA will call the assemblies "Academic Enrichment Assemblies" and make sure Synopsis entries and announcements use this name as opposed to "Good Behavior Assemblies". All Academic Enrichment Assemblies will be attended by all students. They are a gift from PTA to the students. There will be 3 assemblies per year. The first 2 will be academic in nature. The last assembly may be non-academic and our goal will be to hold it the last afternoon of OAA testing. We also ask for input from the Intermediate PTA Teacher representative in choosing the assemblies. PTA will provide volunteers during the assemblies upon request from teachers. Old Business Rizzo (duplicator which was purchased by PTA) was coded, and all teachers, some staff, and PTA have codes. It is only to be used for 50 plus copies as this is when it becomes cost effective. The code mechanism is not working so Lori Raser will call the representative to check it. Board Members’ Update President – Lori Raser $10,000 grant from The Andew Jergens Foundation. We will add this to our technology fund along with the $5000 grant from Marge & Charles Schott Foundation. These results are worth the investment of $2500 which was paid to the grant writer. There was discussion concerning letting parents know what PTA has funded. This is already being done but more effective means of communication would be helpful. People seem to miss items in the synopsis perhaps because it is getting very long. The blub at the beginning of the synopsis email is effective but will not continue to be if it is used too much. It was mentioned that everything is on the Kilgour PTA web site. Lower grades have information coming home daily which can be overwhelming whereas the upper grades have the Tuesday envelope. Since the synopsis is emailed it was questioned whether everyone is receiving it since you must fill out a request form to get a hard copy if you do not have or do not want to receive it by email. President –Elect – Jenny Workum Open PTA positions – Open positions include Inside/Outside Enrichment (need help with skating and bowling). They will work together to do the Harvest Dance and Famous Person Luncheon. Corresponding secretary is also open, otherwise in very good shape. Aimee Bashor volunteered to do bowling. Slate will be posted on the web site and then voted on at the June meeting which is at Jenny Workum’s home. First Vice Presidents – Room Parents – Jen Rodes & Jane Dolan (not here) There was discussion concerning the fact that contributions for the teacher baskets and other solicitations were low this year. It was mentioned that we had a lot of solicitation for funds this year including new items Penny Wars for Haiti and the Dance for Tillie. Mark Severin mentioned that he looked at all synopsis for the year and counted how many times Kilgour solicited for money or other items. On average it is once per week not including field trips and grade specific items. Suggestions were made to move teacher appreciation to the end of the year which would allow combining end of year gifts with teacher appreciation gifts and/or eliminate the teacher appreciation gift or gift basket and go back to giving the fruit baskets along with the flowers, notes, lunch and breakfast. Suggestion made to collect $ from entire school and divide up among all teachers and staff so that it is equitable with everyone getting the same thing. This was done at Christmas and teacher appreciation at Cardinal Pacelli. Feedback will be given to the First Vice Presidents to perhaps step it back a bit for teacher appreciation in terms of giving a large gift. Revaluate asking people for money for gifts. Perhaps instead of monetary gift have the students make something for the teacher.
Second Vice Presidents – Programs – Kristen Bickel and Dave Shirey (not present – no report)
Third Vice Presidents – Carnival – Aimee Bashor, Denise Beauchamp, & Ingrid Jones – May 15 th 11-5. Aimee Bashor reported that everything is going well. We have lots of volunteers from UC, Crossroads, and Cincinnati Recreation Commission. Need volunteer coordinator for next year. Sponsorship banner is ready to put up. Yard signs and posters have been distributed. Judy Neff mentioned that the arts and crafts, mom and dad, and planter baskets could use more items.
Fundraising Chair – Dena Hipskind (not present – no report)
Sponsorship – Mark Severin Mark is helping Laura Jenkins with 6th grade memory book. Upgraded to a bound book with full color cover photo and class picture on back. He suggested putting order form in front cover of the 6th grade book in case someone wants to order additional books. Lori Ware reported that the budget for this is $200.
Inside/Outside Enrichment – Diane Brueggemann & Peggy Groeber. Famous Person Luncheon for 4th through 6th grades is May 20 in the gym. Bob Herzog has not responded to Lori Ware’s requests to be the speaker so moving on to the next possible speaker. Flyers for the event will go home in next Tuesday’s white envelope.
Corresponding Secretary – Judy Neff Flowers sent to Jane Dolan due to family death.
Public Relations – Beth Schenk (not present – no report)
Auditor – Dave Carnes Thanked Judy Neff for a great job spearheading the scholarship committee. Dave reported that his involvement with the committee was very rewarding.
Buildings and Grounds – Jules Hemsky (not present) Go Cincinnati will be working on the nature center from 9AM – 1PM on May 15th (day of carnival). Area will be blocked off until approximately 1:30.
Membership – Lynn Vainrib, Olga Davies, & Nikki Kingery (nothing to report).
Technology – Steve Wetzel, Beata Heekin, & Dan Marshall (not present – no report)

Lori Ware announced that Field Day Volunteers are needed on May 21st. This will be in the next synopsis.
