KILGOUR ELEMENTARY PTA BOARD MEETING

Minutes  

March 3, 2010

 

Present:  Lori Raser, Jenny Workum, Laura Stith Deck, Lori Ware, Tracy Mason, Jennifer Rodes, Peggy Groeber, Aronda Rodgers, Jerome P Rodgers, Dena Hipskind, Angela Cook, Terry K. Armstrong, Judy Neff, Beth Schenk, Jules Hemsky, John Allenson, Mark Severin, Holly Vargas, Kristen Bickel, Veronica Zinchini, Veronica Tollefson, Marcy Prebeg, Barbara Culbertson, Sarah Kleiner, Brian Henderson, Nikki Kingery

 

I.              Meeting Opening - A motion was made to open the meeting (Motion – Angela Cook, Second – Kristen Bickel).

a.    Introductions were done since this was “bring a friend to PTA month” and there were several new people here.

b.    Many thanks to Diane Brueggemann & Peggy Groeber for a great Ski Day, Bowling Club, and Skating Club!

c.    Thank you for providing PTA position spec sheets.

 

II.            Recording Secretary – Laura Deck

a.    Approval of minutes (motion – Tracy Mason, Second – Jen Rodes)

b.    Electronic document storage – Laura indicated that one of the recording secretary’s responsibilities is to maintain a binder with the minutes and handouts from PTA meetings.  The PTA has many, many binders now and storage space is seriously lacking.  For several years now, the minutes have been posted on www.kilgourpta.org.  Laura motioned that the budget and any other handouts that are not contained within the minutes also be posted on the website and maintained electronically to get rid of the necessity of maintaining hard copy binders (second – Lori Ware).  Motion passed.  Mark Severin proposed that all binders older than 5 years be pitched and all binders newer than 5 years be batch scanned and maintained electronically (second – Lori Ware).  Motion passed.

 

III.           Kilgour Sports Boosters – Davith Adams

a.    March Madness – This has been rescheduled for Sunday March 14.  Ms. Cook related that staff will be involved as well.

 

IV.           Treasurer’s Report – Lori Ware

a.    Lori presented the budget.  Lori asked that teacher’s check their budgets because some are getting low.  Lori reminded the PTA that the budget is divided by income vs. expenses.  More income should not increase a category’s expenses.  If you plan to spend over your budget, you should bring that to PTA for approval.

b.    A motion was made to approve the budget (motion – Tracy Mason, second – Judy Neff).  Motion passed.

 

V.            Principal’s Report – Angela Cook

a.    Thanks to ski day, roller skating club, bowling club and your continued support!

b.    District/School Updates

                                                  i.    2010-11 School year preparations and planning are in progress.  Help spread the work!  If you know of families interested in Kilgour and live within our school boundaries, please encourage them to enroll today.  Early enrollment helps our school to identify and request appropriate staffing/educational needs. 

                                                ii.    Tentative budget was approved by CPS where they maintain our current level of teachers.  The additional kindergarten teacher is questionable as to whether she will stay at kindergarten or move to 2nd grade.  Ms. Wells will be retiring at the end of this year.  No other staff changes are known.

                                               iii.    Kilgour Foundation Planning Committee – If interested in serving on the committee and/or you have a background in Foundations/Grants/Endowments, please plan to attend the next meeting on March 16th at 7 p.m. in the Kilgour Library.

                                               iv.    “Dance for Tillie” – A dance-a-thon to honor Kilgour Kindergarten student (Matilda Kraus) in Ms. Brafman’s class and a fun-raiser for Cancer research on Friday, March 19, 2010.  The primary children will dance to 20 songs from 1:30 – 2:30 p.m.  Intermediate children will dance to 20 songs from 2:30-3:30 p.m.

                                                v.    New programs implemented

1.    First in Math (1st – 6th) – Building Math concepts and skills

2.    Study Island (3rd – 6th) – Ohio Standards based and test prep

3.    Techie Club (3rd – 5th) – After school Computer club with the Ohio Tech Corps

4.    Girls on the Run (3rd – 5th girls) – Girls Fitness & Wellness Program

c.    Assistance Needed

                                                  i.    Kindergarten Roundup and Registration volunteers (March 6, 9 a.m. – noon).  See Ms. Law in the office if interested in helping.

                                                ii.    Be sure to have your child to practice basic math facts daily in addition to reading!  It makes a difference!

d.    Key event to note – Ohio Achievement Assessments (testing) for grades 3rd – 6th: April 26th-30th.  Testing used also for requirement of the State Report Card.  It is vital that all students are present and well rested for State Testing.

e.    Calendar reminders/updates

                                                  i.    March 3 – School tour 10 a.m./PTA meeting 7 p.m.

                                                ii.    March 6 – Kindergarten round up and school registration for 2010-11, 9 a.m. – noon

                                               iii.    March 8-12 – Scholastic Book Fair

                                               iv.    March 12 – Annual Spaghetti Dinner, 5:30-8 p.m.

                                                v.    March 14 – March Madness

                                               vi.    March 17 – Market Day pickup

                                              vii.    March 22-26 – Spring Break, no school

                                            viii.    March 29 – End of 3rd quarter, no school

 

VI.           Teachers’ Report – Terry Armstrong

a.    Mrs. Armstrong is thrilled to be here.

b.    Mrs. Armstrong asked if Great Gatherings are coming in for the teachers.  Dena stated they have been great.

c.    Mrs. Armstrong stated that families can be registered on First in Math.  She stated there are basic math facts as well as games. 

 

VII.          New Business

a.    Per Victoria Butler, there is a parent workshop coming on April 13 at 7 p.m. called “Expectations for Middle School.”  The seminar will be presented by Tanya Ficklin, a counselor at Walnut Hills High School.  The seminar will inform parents of 3rd through 6th graders of what they can expect for their child during middle school.  The information is not unique to Walnut Hills.

 

VIII.       Old Business

a.    Original Artworks is well under way.  The artwork and the packet are supposed to come at the same time, but that has not happened this year.  If you did not get artwork it is because it has not been sent out yet.  Some of the kids had not finished their artwork.  Friday March 12 is the deadline for orders.  The coordinators have received many thanks from parents for keeping this going.  It was suggested that we let Ms. Nored know at the beginning of the school year what the PTA’s time frame is so that she has time to have students do this.

 

IX.          Board Members’ Update 

a.    President – Lori Raser – nothing to report

 

b.    President-Elect – Jenny Workum

                                                  i.    Bring a friend to PTA!  Jenny conducted a drawing for any new members present and for a PTA member who “brought a friend”.  We are trying to encourage more participation in PTA because our student body is growing, yet the PTA participation is not, so please continue to encourage parents to come.  Winners were Holly Vargas and Nikki Kingery. 

                                                ii.    Jenny indicated that position spec sheets for PTA board positions will be posted on the PTA website.  She related that we are open to teams of people filling positions if that would make a position more appealing to someone. 

 

c.    First Vice Presidents – Room Parents – Jen Rodes & Jane Dolan – Noting to report.

 

d.    Second Vice Presidents – Programs – Kristen Bickel and Dave Shirey

                                                  i.    Spaghetti Dinner – March 12

1.    77 families have RSVP’d, which is ½ of the total reservations we had last year prior to the event.

2.    Last year we served over 300 people.

3.    If you have not yet turned in your reservation, please do so.  It helps with planning.  An automated call will be coming out about this.

4.    The order form is available in the synopsis.

5.    Teachers, student teachers, IA’s are free to attend. 

6.    Volunteers – We have a good number, but more are always needed.

                                                ii.    Everybody Counts

1.    Due to heavy scheduling constraints and snow days, this has been put on hold and will be moved to next school year.

 

e.    Third Vice Presidents – Carnival – Aimee Bashor, Denise Beauchamp, & Ingrid Jones, Marcy Prebeg (Third Vice President Elect)

                                                  i.    May 13 – 5K

                                                ii.    May 14 – Carnival

                                               iii.    Games and rides are reserved

                                               iv.    Sponsors are being worked on

                                                v.    T-shirt design has been picked – Lena Richards in Mrs. Brafman’s class created the selected design.  $8 presale, $10 at carnival

 

f.     Fundraising Chair – Dena Hipskind

                                                  i.    Noodles and Co. fundraiser is coming up

 

g.    Sponsorship – Mark Severin

                                                  i.    Most previous sponsors are reupping. 

                                                ii.    Kroger is donating all the burgers and buns.

                                               iii.    Ms. Cook suggested that Mark also check with UDF, who has been a good partner of Kilgour’s.

 

h.    Inside/Outside Enrichment – Diane Brueggemann & Peggy Groeber

                                                  i.    Peggy stated that ski day was the best attended ever.

                                                ii.    Roller skating – 3 days went well

                                               iii.    Bowling day went well

 

i.      Corresponding Secretary – Judy Neff

                                                  i.    Mr. Oats passed away in December.  He read to the primary kids at Kilgour.  He did not have a whole lot of family, but what he did at Kilgour meant a whole lot to him.  Judy proposed that the PTA buy books with a sticker inside that it was in honor of him.  Beth Schenk suggested that a reading corner in the library be named for him.

                                                ii.    The flyer for baskets will be coming out soon.

                                               iii.    Kilgour Scholarships are coming in – we have 5 applications so far.  Judy mentioned that a student expressed concern that Judy Neff is the “chairperson” since her step-son, Jackson, is an applicant.  Judy informed the PTA that she has no voting role and that all the readers are blind readers.  She offered to step down from her position.  Discussion ensued.  The PTA felt strongly that since Judy is a non-voting, non-reviewing member that she should stay in her position.  Laura Deck will modify the scholarship application to clarify roles of chairperson and reader.  Lori Raser will email this student back letting her know of the procedures.  Judy shared the postcard that was mailed to the Kilgour Class of 2004.

 

j.      Public Relations – Beth Schenk – Nothing to report.

 

k.    Auditor – Dave Carns – Not present

 

l.      Buildings and Grounds – Jules Hemsky

                                                  i.    Parents have expressed that the grassy areas are very muddy now that the snow has melted.  She related that there is not much that can be done about this at this time.

                                                ii.    The problem is especially bad near the kindergarten area where parents stand.  Ms. Cook stated that she will look into a “brick” campaign for this area to create a similar bricked area to the one at the front steps. 

 

m.  Membership – Lynn Vainrib, Olga Davies, & Nikki Kingery

                                                  i.    Nikki stated that the winning classrooms with highest PTA membership were Ms. Skolnick, Ms. Lisch, and Ms. Bucher.

 

n.    Technology – Steve Wetzel, Beata Heekin, & Dan Marshall – Not present

 

o.    LSDMC – No march meeting due to spring break.  April 12 at 4:30 p.m. is the next meeting.   Sherry Ford is the PTA representative at this meeting.

 

X.          Closing – Next meeting is Wednesday, April 7, 2010 at 7:00PM in the Library.  .  Motion to adjourn (motion – Peggy Groeber, second – Tracy Mason).
