Kilgour School PTA

Roles & Responsibilities

 

The Kilgour Parent Teacher Association is a volunteer group of parents and teachers.  Since 1912, the Kilgour PTA has been a strong support network for Kilgour School providing fundraising, community building, and the necessary tools to strengthen the educational environment for our students.  Without the help of parents, teachers, grandparents, friends, neighbors, and other interested members of our community, we could not provide the unique experiences and opportunities that complement Kilgour School’s quality education and make it an “Excellent Neighborhood School”.

 

The Kilgour PTA is led by an executive committee with members that hold positions in fundraising, enrichment, community, communication, infrastructure, and as various group liaisons.  This document contains the roles and responsibilities for all Kilgour PTA positions.

 

 

EXECUTIVE COMMITTEE

 

1)        President

a)        Preside at all meetings of this local PTA;

b)        Serve as an ex-officio member of all committees except the nominating and audit committees;

c)        Coordinate the work of the officers and committees of this local PTA in order that the purposes may be promoted;

d)        Appoint committee chairmen except the chair of the nominating committee;

e)        Appoint an auditor or an auditing committee at the time of the annual election of officers,

f)         Perform duties prescribed by these bylaws, standing rules, and by the parliamentary authority adopted by this PTA.

 

2)        President-Elect

a)        Act as aide(s) to the president;

b)        Perform the duties of the president in the president’s absence or inability to serve;

c)        Organize the annual Silent Auction;

d)        The president-elect will serve as the president the following year;

e)        Perform duties prescribed by these bylaws, standing rules, and by the parliamentary authority adopted by this PTA.

                   

3)        Vice Presidents

a)        Act as aides to the president;

b)        In the order listed in Article VI, perform the duties of the president in the president’s and president-elect’s absence or inability to serve;

c)        Chair committees as follows:

1.        First Vice-President - Room Parent Committee

2.        Second Vice-President - Spaghetti Dinner Committee

3.        Third Vice-President - Carnival Committee

d)        Perform duties prescribed by these bylaws, standing rules, and by the parliamentary authority adopted by this PTA/PTSA.

 

4)        Treasurer

a)        Have custody of the funds and maintain a full and accurate account of the receipts and disbursements belonging to this local PTA

b)        Make disbursements as authorized by the President, Board, or membership in accordance with the budget adopted yearly by this local PTA

c)        Have checks over $1,000 signed by two people, who are not immediate family members, the treasurer and the president

d)        Provide a financial statement at each meeting;

e)        Submit to the Ohio PTA an annual report of the financial condition of the organization.

f)         Submit the books annually or upon change of officer to an audit;

g)        Have this PTA bonded for a sum equivalent to the average gross receipts of this association during a year.

h)        Submit the Ohio PTA and National PTA portion of the dues to Ohio PTA monthly with the first payment no later than November 30.

i)         Perform duties prescribed by these bylaws, standing rules, and by the parliamentary authority adopted by this PTA.

 

5)        Recording Secretary

a)        Keep a record of all meetings of the association, Board, and Executive Committee

i)             Take minutes during PTA meetings ii)    Collect agenda from PTA president prior to meeting iii) Minutes can be typed on a laptop during the meeting or handwritten during the meeting, then typed at home.

(Typing during the meeting cuts the time of this job significantly.) iv) Email minutes to PTA president for approval.

b)        Submit meeting minutes to the Technology team for posting to the PTA website.  This website is the main repository of minutes. No hard copies are maintained.

c)        Seek approval of previous month’s minutes at PTA meetings

d)        Have a current copy of the bylaws and standing rules;

e)        Submit to Ohio PTA the requested list of names and addresses of unit officers or chairs;

f)         Submit to Ohio PTA a record of annual volunteer hours of this PTA.

g)        Perform duties prescribed by these bylaws, standing rules, and by the parliamentary authority adopted by this PTA.

h)        Time Commitment: 20 hours (total); 30 hours if minutes are typed after meeting

 

6)        Parliamentarian

a)        Serve as Board policy and bylaws expert, as well as a consultant on matters of procedure.

b)        Perform duties prescribed by these bylaws, standing rules, and by the parliamentary authority adopted by this PTA.

 

FUNDRAISING

 

7)        Sponsorship

a)        Chair Sponsorship Committees for Silent Auction and Carnival fundraisers.

b)        Initiate additional sponsorships for the Directory, Yearbook or other PTA needs.

c)        Maintain relationship with current sponsors and seek potential sponsors.

d)        Organize and create materials to define sponsorship levels and promotional offerings.

e)        Coordinate execution of sponsorship promotion with Communication Chair ire other PTA team members where necessary.

f)         Send thank you cards to all participating sponsors at the conclusion of an event.

g)        Perform duties prescribed by these bylaws, standing rules, and by the parliamentary authority adopted by this PTA.

 

8)        Solicitation

a)        Chair Solicitation Committees for Silent Auction and Carnival fundraisers.

b)        Maintain relationship with current donors and seek potential donors.

c)        Organize and create materials to solicit donations from businesses and community members.

d)        Send thank you cards to all participating donors at the conclusion of an event.

e)        Perform duties prescribed by these bylaws, standing rules, and by the parliamentary authority adopted by this PTA.

 

9)        Silent Auction

a)        Preside at all meetings of the Silent Auction Committee

b)        Serve as an ex-officio member of all Silent Auction Committees

c)        Secure signed contract from venue and confirm scheduling with other PTA clubs and events by May.

d)        Oversee system and/or materials required to conduct an auction including bidding, registration, ticket sales, volunteer sign-ups, communication, close auction, etc.

e)        Advertise event across all PTA channels from August - November

f)         Organize volunteer appreciation luncheon

g)        Ensure all sponsors and donors are recognized and thanked by the PTA

h)        Perform duties prescribed by these bylaws, standing rules, and by the parliamentary authority adopted by this PTA/PTSA.

 

10)     Carnival

a)        Preside at all meetings of the Carnival Committee

b)        Serve as an ex-officio member of all Carnival Committees

c)        Secure signed contracts from vendors and confirm scheduling with other PTA clubs and events by September.

d)        Oversee system and/or materials required to conduct the carnival including sponsorships, solicitations, ticket sales, volunteer sign-ups, communication, etc.

e)        Advertise event across all PTA channels from March - May

f)         Organize volunteer appreciation

g)        Ensure all sponsors and donors are recognized and thanked by the PTA

h)        Perform duties prescribed by these bylaws, standing rules, and by the parliamentary authority adopted by this PTA/PTSA.

 

11)     Spaghetti Dinner

a)        Preside at all meetings of the Spaghetti Dinner Committee

b)        Serve as an ex-officio member of all Spaghetti Dinner Committees

c)        Secure signed contract from vendors (LaRosa’s, DJ) and confirm scheduling with other PTA clubs and events by September.

d)        Oversee system and/or materials required to conduct the dinner including registration, ticket sales, volunteer signups, communication, etc.

e)        Coordinate additional group participation (tables for Book Fair, Carnival, PTA, etc.)

f)         Advertise event across all PTA channels from February - March

g)        Ensure all sponsors and donors are recognized and thanked by the PTA

h)        Perform duties prescribed by these bylaws, standing rules, and by the parliamentary authority adopted by this PTA/PTSA.

 

12)     Great Gatherings

a)        Great Gatherings are small parties in which participants pay a fee to attend while all expenses are paid by a host or group of hosts and 100% of the event proceeds are donated to the Kilgour PTA.  Parties can be organized for various interest groups within the Kilgour community with specific themes and are organized for children, parents and families and are typically hosted by teachers and/or parents.  Tickets must be purchased to attend a party and all parties have an attendance capacity.  All tickets are sold on a first come first serve basis at Kilgour PTA’s two major fundraisers - 85% are sold at the Silent Auction and 15% at the Carnival.  

b)        Set-up registration and ticket sales (preferably online) for parties and at Silent Auction & Carnival.  If selling online, address additional tickets sales and questions on-going until party is complete. 

c)        Recruit party hosts and provide hosts with guidance and attendee updates in preparation for their individual parties.  

d)        Recruit 12-16 volunteers and train to capture ticket sales at Silent Auction & Carnival.

e)        Advertise event across all PTA channels to promote ticket sales.

f)         Perform duties prescribed by these bylaws, standing rules, and by the parliamentary authority adopted by this PTA/PTSA.

 

13)     Flower Sale

14)     Market Day

15)     Reward Programs

a)        Kilgour participates in shopper rewards programs for three local retailer chains – Kroger, Remke’s and Target.   When a shopper uses their rewards card to make purchases at these stores, a percentage of the sales goes back to our school.  Each retailer program works differently: i) Kroger Community Rewards Program

(1)      The Kilgour PTA is account 80865 in the Community Rewards program.

(2)      Re-enroll in April every year, or the Kilgour account is dropped.

(3)      Kroger Kilgour Rewards cards are designated for Kilgour PTA.  

(4)      Money can be loaded to the cards at the cashier lines or service center and then used to pay for grocery purchases.

(5)      Once a parent receives a card, they are enrolled for one full year.  Each school year, parents need to reenroll.

(6)      The Kroger Kilgour Rewards Cards are separate cards from the Kroger Shopper Cards, but they can be associated to each other so Kilgour receives proceeds and the parent receives the fuel points.

(7)      Kilgour receives a % based upon spending vs. other spending in the program once a quarter via a check addressed to the Kilgour PTA. ii)           Remke Markets 4% Caring Neighbor Card Program

(1)      Remke Gift Cards are designated for Kilgour PTA.

(2)      Money can be loaded to the cards at the cashier lines or service center and then used to pay for grocery purchases.

(3)      Remke automatically tracks the amount loaded on those gift card and Kilgour receives 4% of the value loaded on those cards.

(4)      Checks are issued quarterly to the Kilgour PTA.

(5)      You can order the cards from Remke. The contact is This email address is being protected from spambots. You need JavaScript enabled to view it. . The cards are free and you can order them to have them delivered to the Hyde Park Kroger. iii) Target REDcard

(1)      Kilgour PTA has an account in "Take Charge of Education" at Target.

(2)      To activate an account, the Kilgour parent must apply for a Target REDcard.  While setting up the initial registration at Target.com/redcard, select “Kilgour PTA” for the school setting.

(3)      Target will donate 1% of your Credit or Debit REDcard purchases made at Target and Target.com.

b)        The committee should advertise the Kilgour Shopper Rewards Programs:

i)             In the PTA Website, Synopsis, Email, Facebook, Tuesday envelopes ii)               For incoming Kindergarten students on the first day of school in August iii) At PTA Meetings, Choir Concerts, Spaghetti Dinner and Carnival

16)     Restaurant Nights

a)        Contact nearby restaurants and set up a fundraiser night (or weekend day) to raise money for Kilgour. Most restaurants will donate anywhere from 10-25% back to our school. 

b)        The restaurants usually have a flyer they will send out via email. Print out enough flyers for each student as well as email the flyer to the PTA member who will attach it to the synopsis.

17)     Box Tops

a)        Coordinate collection of “Box Tops for Education” for all homerooms.  Kilgour PTA received $0.10 per Box Top. b)    Track and determine quarterly winner.

c)        Advertise event across all PTA channels to promote fundraiser and increase participation.

d)        Perform duties prescribed by these bylaws, standing rules, and by the parliamentary authority adopted by this PTA/PTSA.

 

ENRICHMENT

18)     Mustang Mondays

a)        PTA enrichment program in which various Cincinnati institutions present new “specials” topics to all students every Monday on a 6-Week rotational basis.

b)        Reserve dates and programs with various institutions by [insert month].  Secure signed contracts and confirm scheduling with other PTA clubs and events.  Receive approval from principal.

c)        Assist Kilgour administration as necessary. Perform duties prescribed by these bylaws, standing rules, and by the parliamentary authority adopted by this PTA/PTSA.

 

19)     COSI (Center of Science & Industry)

a)        PTA enrichment program in which the Center of Science & Industry presents topics for all grades in September.

b)        Reserve dates and programs with COSI by [insert month].  Secure signed contract and confirm scheduling with other PTA clubs and events.  Receive approval from principal.

d)        Recruit XX parent volunteers to work morning and afternoon shifts across 2 days for each COSI station in the gym, especially at Back to Social in August (table will be reserved at this event to recruit volunteers).

e)        Advertise event across all PTA channels starting in August.

f)         Perform duties prescribed by these bylaws, standing rules, and by the parliamentary authority adopted by this PTA/PTSA.

 

20)     Everybody Counts

a)        PTA enrichment program that helps to teach Kilgour students about individuals with disabilities and that despite our differences, everybody does count.  

b)        Various topics are presented so students learn information about disabilities and allows them to ask questions.

COMMUNITY

 

21)     Membership Chair

a)        Maintain a membership list.

b)        Recruit and register members annually.

c)        Collect membership dues and submit them to the treasurer.

d)        Submit names and other information related to members to Ohio PTA and National PTA, as required.

22)     Directory

a)        Manage creation of school directory.

b)        Collect content (working with parent content submissions and Kilgour School)

c)        Coordinate sponsor(s) with Sponsorship Chair.

e)        Coordinate printing with vendor.

f)         Organize school distribution.

23)     Yearbook

a)        Manage creation of school yearbook.

b)        Collect images and content (working with PTA Photographer, parent submission, and Kilgour School) c)             Use software program to design layout.

d)        Coordinate printing with vendor.

e)        Organize yearbook sales and school distribution.

24)     Scholarship

a)        The Kilgour Elementary Alumni Scholarship is a $1,000 scholarship given by the Kilgour PTA to a deserving high school senior. The recipient must have attended Kilgour Elementary for at least 3 years and graduated from the 6th grade at Kilgour Elementary.

b)        Two committee chairs are responsible for:

i)         Creating/updating the Scholarship application and Applicant Invitation Postcard as needed ii)    Mailing postcards in January to the scholarship applicants iii) Posting the application to the Kilgour PTA website iv) Recruit panel of judges to read the applications after March 15th v)        Preparing the applications for the readers vi) Tallying the scores of the applicants vii) Informing the winner

viii) Presenting the winner at the May PTA Board Meeting to award the scholarship

25)     Harvest Jam

27)     Clubs

e)    Kilgour Clubs are 1-2 time events in which students register in advance to participate in roller skating, bowling or skiing during the months of January and February. i)      Roller Skating

(1)      Reserve 2 dates on Fridays during the months of January or February at the Fun Factory (or other roller skating venue) for up to 50 participants by October.  Secure signed contract from venue and confirm scheduling with other PTA clubs and events.

(2)      Receive approval from principal and schedule bus transportation.  Secure signed contract and make payment.  

(3)      Recruit a minimum of 4 parent volunteers to monitor event and transportation to and from venue.

(4)      Oversee registration process (preferably online) by collecting participant information, collect payments, and distribute and collect completed participant rules & guidelines and liability release forms.

(5)      Advertise event across all PTA channels as early as October.

ii)        Bowling

(1)      Reserve 2 dates on Fridays during the months of January or February at the Stone Lanes (or other bowling venue) for up to 50 participants by October.  Secure signed contract from venue and confirm scheduling with other PTA clubs and events.

(2)      Receive approval from principal and schedule bus transportation.  Secure signed contract and make payment.  

(3)      Recruit a minimum of 4 parent volunteers to monitor event and transportation to and from venue.

(4)      Oversee registration process (preferably online) by collecting participant information, collect payments, and distribute and collect completed participant rules & guidelines and liability release forms.

(5)      Advertise event across all PTA channels as early as October.

iii)       Skiing

(1)      Reserve 1 date, typically the Monday of President’s Day (or another school day off) at Perfect North Ski Resort by October.  Secure signed contract from venue and confirm scheduling with other PTA clubs and events.  Receive approval from principal.

(2)      Families to provide own transportation.  Buses are not reserved.

(3)      Recruit a minimum of 4 parent volunteers to organize day of the event.

(4)      Oversee registration process (preferably online) by collecting participant information, collect payments, and distribute and collect completed participant rules & guidelines and liability release forms.

(5)      Advertise event across all PTA channels as early as October.

29)     6th Grade Events Coordinator

COMMUNICATION

 

38)     Communication

a)        Oversee all PTA communication channels.

b)        Coordinate and streamline technology and feeds to ensure all formats contain the latest information.

39)     Technology

a)        Design and maintain the website of this PTA.

d)        Time Commitment: 35 hours, distributed evenly throughout the school year

 

40)     Newsletter (Synopsis)

a)        Prepares and compiles Kilgour’s online bi-weekly newsletter which keeps the Kilgour community informed of Principal updates, important dates and school activities and events.

b)        Determine relevance & appropriateness of submissions assuring that content is directly related to school functions. c) Compile, edit, and occasionally write submissions.

d)        Input submissions into web content editor.

e)        Confer with Principal, PTA presidents and president-elects for content approval.

f)         Work closely with PTA Technology who assists when technical issues arise, and when Synopsis is ready for publication g) Desirable Skills:

i)         Synopsis is published online. A comfort with technology is needed, and web content editors is a plus.

ii)        Strong writing & editing skills are helpful.

iii)       Attentiveness to details, particularly in detecting errors in spelling, punctuation & syntax.

       h)          Perform duties prescribed by these bylaws, standing rules, and by the parliamentary authority adopted by this PTA.

 

41)     Social Media (Facebook)

a)        Maintain Kilgour School PTA Facebook page information (reminders, events, etc.) and security.

b)        Maintain Kilgour School PTA Facebook Guidelines document annually.

c)        Coordinate and streamline content with other feeds to ensure all formats contain the latest information.

d)        Perform duties prescribed by these bylaws, standing rules, and by the parliamentary authority adopted by this PTA.

 

42)     Public Relations/ Historian

e)        Share the history of Kilgour School

f)         Promote a positive image of Kilgour School to the neighborhood and community.

i)         Alert local media of noteworthy events at/related to the school (Eastern Hills Journal, Hyde Park Living, The

Cincinnati Enquirer, Cincinnati Magazine, etc.) ii)               Information for promotional pieces to be obtained and approved by the Kilgour PTA, administration and staff. iii) Images are obtained from PTA photographer, Kilgour school staff, Kilgour student council, or other parents/participants at an event and must be approved the Kilgour administration per CPS Photography Consent Agreements submitted by parents.

       g)          Perform duties prescribed by these bylaws, standing rules, and by the parliamentary authority adopted by this PTA.

 

43)     Surveys/ Feedback

a)        Manage the design and execution of surveys and feedback regarding PTA topics and fundraisers.

b)        Develop calendar to schedule surveys throughout the year.

c)        Utilize software program or online service (i.e. surveymonkey.com) to design layouts and collect responses.

d)        Summarize responses and provide feedback for total survey.

44)     Corresponding Secretary

a)        Conduct general outgoing correspondence (includes, but not limited to, thank you and sympathy cards) as directed by the president, Board, or association.

b)        Maintain a file of correspondence received by the association.

45)     Photographer

a)        Understand school schedule and take pictures for Kilgour School and PTA events.

b)        Provide images for PR/Historian and Yearbook chairs/teams.

c)        Non-board members and may not vote.

 

46)     Graphic Designer

a)        Design and format images and/or logos needed for Kilgour School or PTA events.

b)        Non-board members and may not vote.

 

INFRASTRUCTURE

 

47)     Buildings & Grounds

a)        Organize a spring and fall yard waste cleanup at the school.

b)        Organize necessary watering of plants, shrubs, grass, etc. at school during school year.

c)        Organize other yard-related projects at the school as directed by the president, Board, or association.

d)        Organize projects related to the physical structure of the school as directed by the president, Board, or association.
